SMS Terms & Opt-In Disclosures

Cobenian Corporation ("Company," "we," "us"), a Virginia corporation, operates the Steward application ("Service"). This page describes how authenticated users of the Service opt in to SMS (text message) notifications, what to expect after opting in, and how to opt out. It exists as a public reference for compliance reviewers and end-users.

1. Who can opt in

SMS opt-in is only available to authenticated members of subscribing organizations. There is no public sign-up form for SMS. The end-user must first sign in to the Service with their Google or Microsoft account and be granted membership in an organization by an administrator.

2. How the opt-in flow works

The full opt-in flow is:

  1. End-user signs in at steward.cobenian.com.
  2. End-user navigates to Notifications within their organization workspace.
  3. Under the SMS section, the end-user reads the opt-in disclosure (reproduced verbatim in §3 below).
  4. End-user enters their mobile phone number in the linking form and clicks Send code.
  5. The Service sends a 6-digit verification code via Twilio Verify to the entered number.
  6. End-user enters the code in the Service and clicks Verify.
  7. Successful verification creates a user_phone_links row scoped to the user + organization, which constitutes consent for the organization's provisioned Twilio number to send SMS notifications and to engage in two-way conversation with this end-user.

3. Opt-in disclosure shown in the in-app form

The following disclosure appears above the phone-input form in the Service's SMS linking UI:

By linking your phone, you agree to receive conversational and informational SMS from Cobenian Steward.

Message frequency varies (typically several per workday, driven by your notification preferences). Message and data rates may apply.

Reply STOP to opt out at any time, or HELP for support.

4. What kinds of messages we send

After opt-in, end-users may receive:

  • Workspace notifications — alerts about business signals the Service observes (silent clients, overdue invoices, unbilled time, missed follow-ups, daily briefings).
  • Two-way conversational replies — when the end-user texts the Service, our AI assistant replies with answers, drafts, or confirmation prompts.
  • Compliance auto-responses — replies to STOP, START, HELP keywords (see §6).

5. Sample messages

Representative SMS messages an opted-in user may receive from the Service:

Steward: ACME Corp has gone silent (no email in 7 days). View at https://steward.cobenian.com/today. Msg+data rates may apply. Reply STOP to opt out, HELP for help.

Steward: Got it — I'll draft the follow-up email and put it in your inbox for review. Msg+data rates may apply. Reply STOP to opt out, HELP for help.

6. Opt-out and help keywords

The Service honors the following keywords case-insensitively:

  • STOP (also STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT) — immediately unsubscribes the sender and pauses all SMS to that number. The Service replies once with confirmation, then sends no further messages until the user texts START.
  • START (also UNSTOP, YES) — re-subscribes a previously opted-out number. The Service replies once with confirmation.
  • HELP (also INFO) — replies with the brand name, opt-out instructions, and a link to support.

7. Auto-response wording

The Service uses the following auto-response messages (subject to per-organization branding):

  • STOP reply: "You're unsubscribed. Text START to resubscribe."
  • START reply: "You're resubscribed to Steward. Text STOP to opt out at any time."
  • HELP reply: "Steward: Elixir.OrgName's AI assistant. Msg+data rates may apply. Reply STOP to opt out. Help: https://steward.cobenian.com/help"

8. Carriers and rates

Standard message and data rates from the end-user's mobile carrier may apply. Cobenian does not charge end-users for SMS; charges are billed to the organization through their Cobenian subscription.

9. Privacy and data handling

We do not sell or share mobile phone numbers, SMS opt-in records, or message content for marketing or with non-affiliated third parties. Mobile numbers are disclosed only to our messaging vendor (Twilio) strictly to deliver authorized messages. Message content is encrypted at rest. Full data-handling terms are in our Privacy Policy.
